Step One: Scoping and Planning

We start with the kick off meeting where we review the scope of the project. Some of our implementation team will already have been involved before you have placed your order but this is an opportunity to check all aspects of the project. We will confirm the team involved both from Amethyst and from you and agree a go live date. 

Importantly we will agree the milestones and how we will review the project when completed.

Following that meeting, a project plan will be produced, giving details of all responsibilities and detailed timescales. We will take into account your availability so that the project can move forward with as little impact on your day to day work.

Sometimes clients will take on a project manager specifically to work on this project. We are happy to work in the way that you want.

If we have not done a scoping document with you already, then this will be the first piece of work we carry out.

We will set up your Trello board and open this up to all who need to see how the project is progressing.

Key to us is to ensure that we complete your implementation with as little disruption to your day to day work as possible.

Our team will help you decide which data you wish to migrate to your new system. We will work with you to agree transactional data that you need and advise on data cleansing. A new system is a real opportunity to look at your customer/supplier/stock records etc (static data) and see if the coding works for you now. (If it does, that's fine, as there is no need to change just for change sake).

We will install the software and work through the configuration in line with your requirements. If you have any development changes, then the work will commence on this as well.

All the configuration and data will be put into a test database, ready for User Acceptance Testing (UAT).

Step Three: User Acceptance Testing and Training

User Acceptance Testing (UAT) enables you and your team to put the configuration through its paces by trying out all types of data entry and processes. We will be on site for this to identify any issues and work through the changes needed.

The UAT will be repeated as needed and once you are happy then we will move into the training phase.

Implementing, managing, and maintaining your software is only one half of our business relationship. In order to get the most from your new system it’s really important that you and your team are trained to use it correctly and effectively right from the beginning.

A training programme will be worked out with you, again trying to minimise any impact to your business. Some clients will work with a 'train the trainer' option, others will ask us to do all the sessions.

Training notes will be done as this point for you to incorporate into your procedure documents.

There are some final things we need to do before the Go Live Date for example - bringing your transactional data completely up to date and ensuring document numbers are correct.
